User Management in Cognipeer

Managing users within Cognipeer is a streamlined process, allowing administrators to invite team members, assign roles, and control access to various features. The User Management section is divided into two tabs: Users and Invitations, providing clear insights into current users and invitation statuses. This guide will walk you through the essentials of managing users, including role-based access and handling invitations.


User Management Overview

The User Management section consists of two main tabs:

  1. Users Tab: Displays a list of current users, their roles, and options to edit or remove users.
  2. Invitations Tab: Shows the status of pending invitations with options to resend or revoke invitations based on their status.

Tab 1: Users

Managing User Roles

In the Users tab, you can view all the users currently part of your organization. Admins can manage user roles and permissions from this tab.

  1. Access User Settings
    • In the Users Tab, you will see a list of all active users in your organization. [IMAGE: User list]
  2. Change User Role
    • To update a user’s role, click Edit next to their name.
    • Change their role to either Admin or User and click Save. edit-role
  3. Remove a User
    • To remove a user, click Remove next to their name. This will revoke their access to the platform.

Tab 2: Invitations

The Invitations tab displays all pending invitations and their status. Admins can manage invitations, revoke access, or resend invitations.

Managing Invitations

  1. Invitation Status

    • In the Invitations Tab, you will see the email address of each invited user along with the status of their invitation (e.g., Pending, Accepted).
  2. Revoke Invitations

    • If an invitation is no longer needed or sent by mistake, click Revoke next to the invitation. This will cancel the invitation, and the recipient will no longer be able to join.
  3. Resend Invitations

    • If a user has not responded to the invitation, you can click Resend to send the invitation email again.

User Roles

In Cognipeer, there are two main user roles:

  1. Admin Admins have full access to all features within the platform. They can create and manage AI Peers, connect data sources, integrate tools, and access both the Chat and Dashboard interfaces. Additionally, they are responsible for managing other users and their permissions.
  2. User Users have limited access. They can interact with Peers via the Chat interface but do not have access to the Dashboard or settings related to Peers, data sources, or tools. [IMAGE: Role-based access overview]

Inviting New Users

Admins can invite users to join Cognipeer via email. Follow these steps to invite a new user:

  1. Navigate to the Invitations Tab

    • In the User Management section, click on the Invitations Tab.
  2. Send an Invitation

    • Click Invite User, enter the email address of the new user, select their role (Admin or User), and click Send Invitation.
  3. Accepting the Invitation

    • The invited user will receive an email with a link to join Cognipeer. Once they accept the invitation, they will gain access based on the assigned role.

Role-based Access Control

The roles assigned to users determine what features they can access within the platform.

Admin Role

  • Full Access: Can create and manage Peers, data sources, and tools.
  • User Management: Admins can invite new users, assign roles, and remove users.
  • Dashboard Access: Admins can view performance metrics and manage the entire system.

User Role

  • Chat-Only Access: Users can only access the Chat interface to interact with Peers.
  • No Dashboard Access: Users cannot modify Peers, data sources, or tools, nor can they view performance metrics or settings.

By managing users and invitations effectively, you ensure that team members have the appropriate access to features within Cognipeer based on their role.
