Managing SmartContent

This guide explains how to organize, share, and reuse SmartContent in Cognipeer. Effective management of your SmartContent allows you to build a valuable library of documents that can be leveraged across different conversations and workflows.

Accessing Your SmartContent

To access your saved SmartContent:

  1. Navigate to the SmartContent section in the Cognipeer sidebar
  2. Browse your saved documents in the SmartContent library
  3. Use the search and filter options to find specific content

Organizing SmartContent

Naming Conventions

Establish consistent naming conventions for your SmartContent to make documents easier to find:

  • Include the document type (e.g., "Proposal," "Report," "Tutorial")
  • Add a descriptive title that indicates the content
  • Consider including a version number or date for evolving documents

Examples:

  • "Proposal - AI Implementation Strategy - v1"
  • "Tutorial - JavaScript Basics - 2025-04"
  • "Report - Q1 Market Analysis"

Deleting SmartContent

To permanently delete a document:

  1. Open the document in the SmartContent library
  2. Click the Delete button
  3. Confirm the deletion
  4. The document will be permanently removed

Note: Depending on your permissions and organization settings, deletion might require additional approval or might be restricted for certain documents.


Sharing SmartContent

Visibility Settings

When saving or updating SmartContent, you can choose from the following visibility settings:

  • Private: Only you can access the document
  • Shared: Specific users or teams can access it
  • Public: All users in your workspace can access the document

Reusing SmartContent

In Conversations

To reuse SmartContent in a conversation with a Peer:

  1. Start a conversation with a Peer
  2. Request to use existing SmartContent:
    • "Let's work with my document titled 'Marketing Strategy'"
    • "Open my SmartContent called 'Product Specifications'"
    • "I want to continue working on my 'Client Proposal' document"
  3. The Peer will retrieve the document and open it in Canvas for further editing

In Flows

Incorporate SmartContent into your Flows:

  1. Decide which document should be used in the workflow.
  2. Add Flow steps that collect, transform, or summarize the SmartContent.
  3. Pass the result into later steps, such as an approval, message, or generated file.
  4. Test the Flow with a sample document before using it with team content.

Best Practices for SmartContent Management

  • Regular Audits: Periodically review your SmartContent library to archive or delete outdated documents
  • Consistent Metadata: Use consistent naming, tagging, and categorization across your organization

  • Training: Ensure team members understand how to effectively use and manage SmartContent
  • Backup Important Documents: Export critical documents in multiple formats for backup purposes
